What information do we collect about you?

The type of personal data collected and used by us varies depending upon whether you are licensing content, creating an online user account, a contributor to our library, contacting us via our website or subscribing to our newsletter. Some of the information we collect includes:

  • Contact Data such as address, e-mail address, telephone number.
  • Technical Data such as internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access the Website.
  • Financial Data such as, for Customers, Accounts Payable contact information, VAT number, information about payments from you and other details of services you have purchased from us. We do not hold details of credit or debit cards or payment accounts used to make payment via our ecommerce website. All online payments are processed through a secure encrypted thid-party payment gateway. For contributors, we will need to gather all necessary financial information needed to make commission payments to you.
  • And any other data that you might have provided via communications with us.

How will we use the information about you?

We collect information about you to process your order, communicate with you, administer your account, notify you of changes to our services, provide helpful information about our products and services and, if you subscribe to our e-newsletter, to email you about content we think may be of interest to you.

We will also retain and evaluate information on your recent visits to our website and how you move around different sections of our website for analytics purposes to understand how people use our website so that we can make it more intuitive.

Image Quest Marine (Image Quest 3-D Ltd) will not use your information for e-marketing purposes unless you have specifically consented to it. You may unsubscribe from our mailings at any time.

How is data stored?

Our data is stored digitally in a secure database, provided to us by the service providers who operate this site on our behalf. In some cases we have hard copy records, for instance in the case of contracts, model releases and invoices. Hard copy information is stored on secure premises and is not accessible to anyone outside the organisation.

How is data shared?

All data is shared internally with staff, both in-house employees and freelance workers, who have a legitimate reason to access it. We will share your data with relevant third-party companies which enable us to provide our services to you e.g. utilising a third-party platform to create our marketing mailings or providing sales records and invoice information to our Accounting firm. We may also, occasionally, share data relating to specific images and model release information with clients and subagents.

Those third parties with which we share your personal information may handle or transfer your personal information outside of the EEA. We endeavour to ensure that these third-party companies outside the EEA comply with GDPR policy.

By submitting your personal information to us, and by using our site, you agree to us transferring, storing and handling your personal information in this way.

How long is data stored?

We will not keep your data for longer than is necessary for the relevant purposes set out in this Privacy Policy. Where you have purchased a product or service from us, we will hold your relevant personal details to enable us to provide after-sale services and to administer the contract. Where you are a Contributor (or an ex-contributor in respect of certain post-termination contractual obligations) as this is a contractual arrangement, we need to keep this data to administer the contract and correspond with you on any contractual matters arising.

Archiving and deletion

You have the right to object to Image Quest Marine processing your personal data, as well as requesting that IQM erases your personal data or restricts the processing of your personal data, under certain conditions.

Generally, personal data is deleted if requested by the subject or if we cannot verify its accuracy. We may need to archive information, rather than permanently delete certain records. This relates particularly to data relating to past image licences, which we may need to refer to in the preparation of future image licences or copyright infringement cases.
